Bola Olat Private College (“BOPC”, “the school”, “we”, “our” or “us”) respects the privacy of students, parents and guardians, staff, applicants, visitors and other members of our school community. This policy explains the types of personal information we may handle, why we use it, and the safeguards applied to school records and digital services.

1. Information we may collect

Depending on a person's relationship with the school, information may include names, contact details, student identification details, class and subject information, attendance, academic records, assessment results, school fees and payment records, authorised parent or guardian details, staff records, messages, learning resources, portal activity, device or security logs, and documents required for legitimate school administration.

2. Why we use information

Personal information is used for legitimate school purposes such as student administration, teaching and learning, attendance management, examinations and results, parent communication, school finance and receipts, safeguarding, staff administration, access control, reporting, regulatory or examination requirements, and the secure operation of school systems.

3. School ERP and online services

BOPC operates a school-managed Enterprise Resource Planning (ERP) platform. Access is limited according to authorised roles. Parents, students, staff and administrators may see different information depending on their account permissions.

4. Google Drive backup connection

The school may connect an authorised Google account to a controlled backup process for disaster recovery and business continuity. The connection is intended only for school backup operations. Backup content sent to cloud storage is designed to be encrypted before off-site storage so that the cloud provider does not receive readable copies of protected ERP backup contents.

The backup integration is not used to read students' or parents' personal Google Drive files for unrelated purposes, advertise to users, or sell personal information.

5. Service providers

We may use reputable technology, hosting, email, backup, security, payment or communication service providers where necessary to operate school services. Providers are given access only as reasonably required for the relevant service and remain subject to their own security and privacy obligations.

6. Information sharing

We do not sell personal information. Information may be shared where necessary for legitimate school operations, with authorised service providers, examination or education bodies, professional advisers, or where disclosure is required by applicable law or a lawful authority.

7. Security

We use administrative and technical measures intended to protect school information, including controlled user access, authentication, audit records, secure communications, backups and other operational safeguards. No online system can guarantee absolute security, so safeguards are reviewed and improved as school systems develop.

8. Data retention

Records are retained for as long as reasonably necessary for educational, administrative, legal, safeguarding, financial, historical or regulatory purposes. Retention periods may differ depending on the type of record.

9. Accuracy and access requests

Parents, guardians, students, staff and other data subjects may contact the school to request correction of inaccurate information or to raise questions about how their personal information is handled. Requests will be considered in line with applicable obligations and the nature of the school record involved.

10. Children's information

As a school, BOPC necessarily handles information about children and young people. Such information is used for educational, safeguarding, administrative and related school purposes and is handled with particular care.

11. Changes to this policy

This Privacy Policy may be updated when school processes, technologies, legal requirements or service providers change. The latest version will be published on the school website.
